How live booking works
The agent never guesses. Every offer it makes comes from a live availability check, and every confirmed slot is written back to your calendar so the two stay in step.What you need
- A calendar to connect: Google Calendar or Outlook (availability and booking), or Calendly, Nightsbridge, or iCal for booking links and availability sync.
- An agent with the Book and schedule tools switched on.
- A plan that lets the agent take calls. Connecting a calendar and testing in your browser works on the Free plan. To book during a real phone call you need a paid plan with a phone number. See pricing.
iCal booking is part of the Power Tools add-on ($29/month on Professional, included on Enterprise). Google Calendar and Outlook connectors are standard. See add-ons.
Set it up

Connect your calendar
Open Agent Studio, select your agent, and go to Connectors. Choose your calendar (Google Calendar, Outlook, Calendly, Nightsbridge, or iCal) and complete the sign-in. When it reads Connected, pick which calendar the agent should read from and write to. Full connector reference lives in calendar and integrations.

Turn on the booking tools
In the same agent, open Tools and enable the Book and schedule group: Check availability and Create booking (plus Schedule meeting or Schedule viewing if they fit your workflow). Check availability lets the agent read open slots mid-call. Create booking writes the confirmed appointment back. See agent tools for the full list.

Confirm two-way sync
Two-way sync is what keeps you from getting double-booked. Add a test event to your calendar by hand, then reopen the connector and confirm the agent now treats that time as busy. Next, have the agent create a booking (see the test below) and confirm the new event appears on your calendar within a few seconds. If both directions update, sync is live.

Test a live booking
From Studio, use Talk to your agent for an in-browser test call, or Call my phone to have the agent ring you. Ask to book an appointment. The agent should check availability, offer real open times, take your choice, confirm the details back, and create the event. After the call you get an automatic summary and quality score in the chat. Open your calendar and confirm the appointment landed with the right time and details.
Handle reschedules and callbacks
Live booking is only half the job. Callers also move, cancel, and ask to be called back.- Reschedule: the agent looks up the existing appointment, checks availability for the new window, and moves the booking only to a slot it has confirmed is open. The original slot frees up through the same two-way sync.
- Cancel: the agent removes the appointment and the freed time immediately becomes bookable again.
- No slot works: if nothing on the calendar suits the caller, the agent uses the Schedule callback tool to log a follow-up so a human can reach back out. That way a busy diary never becomes a dead end. See callbacks.

Real availability. With the Check availability tool switched on, the agent reads live openings from your connected calendar and only offers times that are genuinely free. It does not take a request and hope a human sorts it out later.
